Event Planning

An EDI self-assessment checklist to use when organising an educational event.

 

Planning Considerations:

  1. Actively seek feedback from underrepresented groups regarding how to best support/include them in this event. Consider contacting existing staff networks. Can your speaker list celebrate diversity?

  2. Have you considered religious observances or significant cultural events when planning event schedules? Refer to a diversity calendar.

  3. Consider virtual or hybrid event options to maximize inclusivity.

  4. Consider duration of each session- short sessions with breaks between will maximise attendees concentration and ability to contribute.

Event Accessibility:

  1. Have event venues been assessed for physical accessibility? Are all areas wheelchair accessible and suitable for hearing/visually impaired?

  2. Have event venues been assessed for inclusivity? Is there access to rest/prayer/breastfeeding rooms and appropriate breaks in the program to facilitate their use?

  3. Have you observed dietary restrictions and requirements?

Event Advertisements:

  1. Consider issuing an explicit EDI statement to set expectations for appropriate and inclusive behaviour.

  2. Give attendees an opportunity to describe any additional needs or adjustments when they sign up for the event.

  3. Clearly signpost the assistance available on the day.

Pre-Event Materials:

  • Ensure pre-event materials are shared in a format which is accessible e.g. digital. Provide a glossary of terms and acronyms in advance to enhance understanding.

  • Publication of a detailed and specific programme well ahead of the event will help those who are neurodivergent.

Feedback Mechanisms:

  • Actively request feedback after the event, particularly from those who requested adjustments. Was the support provided suitable?

 
Event Planning for Accessibility

Not all venues will have all assistive technologies. Clearly advertise what assistance is available and how to access it. Identify those who require assistance ahead of time and explore how their individual needs can be met. Communication is key.
